Job Description

Plans and ensures execution of group event to include but not limited to dates/timing of arrival and departure, room set-ups, diagrams, audio visual/production needs, rooming lists, special needs, special events, on/off-site entertainment, transportation, and food and beverage needs. ESSENTIAL FUNCTIONS:
  • Manage high-volume email requests for meetings and space needs, with 24 hour response expectations. (Average 100 emails per day)
  • Establish and maintain positive working relationships with meeting requestors/Paraprofessionals
  • Communicate with high-profile clients in coordination for Requestable space meetings, using prompt, professional written and verbal responses
  • Reserve meetings and detail meeting set-up needs in Manhattan technology & Delphi sales & catering systems
  • Multi-task client needs and requests with keen organization, intuitive prioritization and escalation channels
  • Conduct meeting room site inspections with Deloitte clients and employees to showcase the space available
  • Liaise with the setup and catering teams to ensure that the meeting rooms are set properly for the meetings
  • Attend weekly council/strategy meetings and  present any issues & concerns and take meeting minutes
  • Review space bookings for accuracy on a daily basis
  • Provide accurate billing code information to accounting to ensure prompt processing
  • Support the Department of Requestable Services Team by providing administrative assistance as needed
  • Provide operational departments with information about upcoming groups and events by generating and distributing various reports
  • Liaise with different departments to plan last-minute meeting and event requests
  • Liaise with other departments to ensure a pleasant experience for meetings
